2. APPLICATION

Application will be made in duplicate and using the enclosed Document -A- Application Form. Acknowledging the terms and conditions mentioned hereafter, the Application Form will be completed, officially signed and stamped and the Organizer’s copy be mailed to the following address in due course:

Applications subject to conditions or reservations will not be entertained. Every effort will be made to meet requests for specific spaces, yet such requests will not be recognized as a condition for participation. No undertaking can be given with respect to the exclusion of competitors. The application is binding on the applicant, irrespective of whether it is accepted by the Organizer or not.

The application will only be considered made when received by the Organizer. The Organizer reserves the right to reject the application without stating any grounds for it. The deadline for application is July 20, 2020.


3. ADMISSION

Only those manufactures, importers, and trade representatives whose program corresponds to the major exhibit groups are permitted to participate in ISTANBUL AIRSHOW 2020.

The decision as to whether an entity will be permitted to participate or its products to be displayed remains with the Organizer.

The Submission of the application form does not entitle the recipient to assert any future claims regarding acceptance that may be denied without stating grounds for this refusal. In such cases, no claims for compensation will be entertained. The space reservation will apply only to the firm shown in the application form. The contract between the Organizer and the Exhibitor becomes effective with the receipt of the application by the Organizer.

The allocation of space and stand dimensions will be determined both by the theme of the Exhibition and space availability.

The Organizer reserves the right to cancel an approved space reservation on the basis of misleading or false information or if the participation requirements are no longer met.


4. ALLOCATION OF SPACE AND ALTERATIONS

In case the requested space is not available, the Organizer may allocate space in different position, slightly reduce or increase the stand size.

The Organizer reserves the right to alter entrances and exists to and from the fairground, halls and passages. No claims may be brought by the Exhibitor for the refund of the agreed total.

6. PARTICIPATION FEES

6.1. Stands and Chalets

For all non aircraft exhibits, both Outdoor and Indoor stand spaces will be provided in units of square meter. Part of a square meter will be charged as a full unit. In computing the fee for space that is not rectangular, that area making it up a rectangular will be included. Both indoor and outdoor areas are to be understood as raw space only, excluding turnkey packages.

Whatever the purpose may be, any outdoor area temporarily covered or used for building by the Exhibitor, is to be considered as indoor area and charged accordingly.

12, 50 and 300 square meter minimum stand space is required for indoor, outdoor and aircraft display areas, respectively.

Participating fees are to be understood net. Current VAT which is to be added to the below given prices is 18%. Exhibitors will be notified of any changes in the VAT rate.

Indoor stand area (min 12sqm) : USD 300.-/sqm
Outdoor stand area (min 50sqm) : USD 75.-/sqm
Temporarily covered outdoor stands : USD 400.-/sqm

Turnkey stand packages :

Type A 12sqm : USD 3,950.-
Type A 16sqm : USD 5,250.-
Type B 16sqm : USD 5,600.-
Type B 18sqm : USD 6,250.-
Type B 24sqm : USD 8,150.-

Chalets are available in the following sizes and with corresponding prices;

Type A 6 x 6 m with 2 x 6 m balcony : USD 35,000.-
Type B 6 x 12 m with 2 x 12 m balcony : USD 60,000.-
Type C 6 x 18 m with 2 x 18 m balcony : USD 80,000.-
Type D 6 x 24 m with 2 x 24 m balcony : USD 100,000.-

Prices are to be understood net and as unfurnished. All chalets are subject to availability, they are made available on a first come first served basis. In case of unavailability a %50 surcharge is applied for firm orders received latest on January 19, 2020. No chalet orders are welcome after this date. Parquet, electrical installation, lighting and air conditioning are standard in all types.

Custom made chalets are also available upon request. A quotation will be made by the Organizer upon the request of the Exhibitor. Deadline for ordering custom made chalets is January 19, 2020.

Due to Airport Safety and Security regulations, exhibitors; directly or through their contractors are not allowed to build any stand or cover any space in the outdoor area. Any such projects the exhibitors may have, will only be realised by the organizers’ contractors.

6.2. Aircraft Participation Fees

Aircraft participation fees are calculated according to the empty weight per aircraft and not to the area covered, provided that;

6.2.1. The exhibit is strictly understood as static display and hence, the aircraft remains in its position throughout the exhibition period.

6.2.2 The positioning of the aircraft is determined by the Organizer.

Should these conditions are complied with, the below given tonnage/price scale is to be used in calculating the aircraft fees. Otherwise, aircraft are to be charged according to the area covered and the aircraft display area fee is to be charged.

Participating fees are to be understood net. Current VAT which is to be added to the below given prices is 18%. Exhibitors will be notified of any changes in the VAT rate.

Aircraft Display Area: USD 50,-/sqm (min. 300 sqm)

Aircraft Exhibits:

Less than 1 ton : USD 750.-/aircraft
1 to 3 tons : USD 1,500.-/aircraft
3 to 10 tons : USD 2,500.-/aircraft
10 to 25 tons : USD 4,000,-/aircraft
25 to 40 tons : USD 6,000,-/aircraft
40 to 60 tons : USD 8,500,-/aircraft
More than 60 tons : USD 12,500,-/aircraft

A fee of USD 500,- will be charged for each co-exhibitor or company represented, occupying the same stand space as the applicant entity.


7. TERMS OF PAYMENT

50 % of the total participation fees including VAT, will be paid by cheque or bank transfer at the time of application.

The remaining balance is payable by December 16, 2019.

For applications received later than December 16, 2019, immediate payment in full is required.

The wire transfer details should be enclosed together with the Application Form, Document A.

The cost of services ordered directly to or through the Organizer must be paid one month prior to the opening of the Exhibition, otherwise, the Organizer will be bare no responsibility for the provision of these services. All complaints must be submitted in writing within 7 business days immediately after receipt of the confirmation of application. Objections raised at a later stage will be disregarded.


8. CANCELLATION AND NON-PARTICIPATION

Applications can be withdrawn up until admission. In such cases, USD 2,500,- plus 18% VAT must be paid as a withdrawal fee. Once the space reservation has been confirmed, the Exhibitor will not be entitled to rescind the contract nor to reduce the stand area. The participation charges will be payable in full together with the costs actually entitled. Should the Organizer makes alternative use of unoccupied areas to improve the general appearance of the Exhibition, the parties that reserved such areas will not be released from their financial obligations.


9. EXHIBITS

Under all circumstances, exhibits are not permitted for removal from the stand during the Exhibition. Only the forwarding agents appointed by the Organizer will be permitted to handle consignments within the fairground. In that, all offloading and loading, delivery to and pick up from stands will be handled by the Organizer’s agent. In the same way all aircraft handling within the venue will only be undertaken by the agents appointed by the Organizer.


10. SECURITY

The Organizer is responsible for the general security arrangements for the halls and the outdoor section. Patrolling will start the first day of construction period and terminate last day of dismantling period. The Organizer is empowered to take any security measures necessary. Special security posts may only be employed from the Organizer’s accredited agent. Despite the measures taken, the Organizer does decline liability for damages to property and personal injury.


11. INSURANCE COVERAGE

The Organizer provides insurance for covering risks that may occur to the Exhibition area. This does not include the exhibits or the belongings of the Exhibitors. Thus, Exhibitors are expected to insure their own goods and personnel against all risks, against damages caused by their own personnel or contractors, as well as the third parties.

The Organizer will bare no responsibility for any damage or loss of goods or harm done to any person by virtue of being or exhibiting at the Exhibition. Organizer undertakes no responsibility for loss, theft or pilferage of exhibits during the Exhibition. Valuables and precious exhibits can be deposited for safe-keeping under sealed packaging with the Organizer.

The Organizer will not be held responsible for the safety of any exhibits or property of any Exhibitor, their staff, contractors or agents or any other person, for loss of or damage to or destruction of the same caused by theft, burglary, fire, storm, tempest, lightning, national emergency, war, civil commotion, labor strikes, lock-outs or by reason of all and accident, force majeur not within the control of the Organizer whether ejusdem generis or not or by occasion of such and similar happenings the holding of the Exhibition is impossible or inadvisable or is postponed or closed prematurely. As the Organizer cannot and will not accept any responsibility for any or all loss suffered by any Exhibitor, therefore they are advised to cover themselves by their own insurance policies.


12. PRINTED MATERIALS

The Organizer will publish an Exhibition Catalogue. The entrance to the catalogue is free of charge to all Exhibitors and detailed information will be provided in due course. Company information both in English and Turkish will be provided by the exhibitors.

No claims can be entertained with respect to errors or omissions in the catalogue. The Exhibitor is not responsible for the content of the entries and for any damage incurred through the publication thereof.


13. TECHNICAL AND CLEANING SERVICES

All water and electrical installations to individual stands are charged separately to Exhibitors as well as consumption costs. The Organizer may request advance payment for these special services.

All installations to the stands will be undertaken by the Organizer. Only in- stand works may be carried out by outside contractors, provided that their names are submitted to the Organizer. The Organizer however, will not be obliged to inspect the installation works and is not liable for any damages caused thereof.

The Organizer may not be held responsible for losses and damages caused by the failure of power supplies.

The Organizer will arrange for the cleaning of outdoor and indoor areas. Exhibitors are responsible for the daily cleaning of their stands before the opening time.

Should the Exhibitor does not wish the cleaning to be undertaken by its staff, outside contractors can be employed provided that they will be appointed by the Organizer.


14. DOMESTIC AUTHORITY

Safety and Security Regulations of the Istanbul Atatürk Airport Authorities and other authorities involved and their demands thereof, are essential and fully binding for all parties involved in the Exhibition. Other than that, the Organizer has the full authority within the entire Exhibition ground for the duration of the event starting from the beginning of construction period until the end of dismantling period.

Animals are not allowed in the fair ground. The Organizer has the right to issue additional instructions and regulations.


15. RESERVES

If necessary, for reasons beyond her control, the Organizer may postpone, curtail, extend or cancel the event or change the venue. In justifiable and exceptional circumstances - as in all cases of force majeur and undertakings of the Turkish Government and The State Airport and Air Traffic Control Authority and other parties involved - Exhibitors are not entitled to rescind their contracts or to claim damages, nor reduction of participation charges. If the event can not take place for the indicated reasons, Exhibitors can be charged up to 35% of the participation fee to cover incidental expenses. More can be requested from those Exhibitors that have given instructions for additional work to be done at their own cost.

No participation charges will be payable if the Organizer is not responsible for the cancellation of the event.

The Organizer entertains no claims for damages.


16. OTHER LEGAL MATTERS

All agreements, approvals and arrangements, irrespective of their nature must be made in writing. Exhibitors acknowledge that they participate in the Exhibition with their own free will and decision. This contract does not entail any oral or written promise or guarantee on the Organizer’s side, as to the amount or level of business, and to the success of the organization.

All claims by Exhibitors on the Organizer will be entertained only if made in writing before 15:00 hours of the last day of the Exhibition. Claims to be made afterwards will not be valid. The place of jurisdiction for all mutual obligations is Ankara, Turkey or upon request of the Organizer, Exhibitor’s place of business.

Laws of the Republic of Turkey are binding.
